Summary

The Executive Assistant will serve as a trusted partner to the executive team, managing day-to-day operations, coordinating complex schedules, and ensuring seamless communication both internally and externally. This role demands discretion, resourcefulness, and a polished, proactive approach.

Key Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate internal and external meetings, prepare agendas, and ensure timely follow-ups.
  • Serve as the gatekeeper for communications, prioritizing emails, calls, and requests.
  • Prepare and edit presentations, reports, and correspondence with attention to detail.
  • Assist with project management tasks and monitor deadlines.
  • Liaise with clients, vendors, and stakeholders on behalf of executives.
  • Track and manage expense reports, invoices, and budget-related documentation.
  • Handle confidential information with the utmost discretion and professionalism.
  • Plan and execute small events or off-site meetings as needed.

Qualifications

  • 5+ years of experience as an Executive Assistant or similar high-level administrative role.
  • Proven ability to manage complex schedules and handle competing priorities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, Slack).
  • Strong written and verbal communication skills.
  • Professional demeanor with excellent interpersonal skills.
  • Highly organized, detail-oriented, and able to anticipate needs before they arise.
  • Experience in supporting C-level executives or senior leadership strongly preferred.
