We are looking for a detailed, passionate, enthusiastic Executive Assistant. The ideal person will be comfortable interacting with all levels of management and highly intelligent with exceptional organizational skills for deadline-driven projects. Strong ability to shift in priorities as urgent matters arise. Someone with a take ownership mentality, a positive attitude, and superb problem-solving and research skills. You will work with sensitive data and must keep all information confidential.
Essential Duties:
- Act as liaison to help facilitate communication between executive staff members and key business partners by relating vital and accurate information.
- Manage the executive’s calendar and daily schedules. Use sound judgment when selecting time slots to ensure enough time is allowed in-between meetings. Distinguish urgencies between conflicting sessions and last-minute schedule changes.
- Act as gatekeeper: managing executive needs to ensure priorities are maintained.
- Organize special events-engagements for the department.
- Coordinate complex travel arrangements. Sometimes with multiple stops, including international itineraries.
- Act as liaison with appropriate parties regarding personal finances, etc.
- Conduct research for special projects.
- Manage email correspondence by sorting, addressing, and filtering communications.
- Daily entry and verification of timesheets and invoices.
- File timesheets and invoices.
- Reconcile invoices.
- Order office supplies to include equipment, coffee, and snacks.
- Track all discrepancies from timesheets and invoices.
- Ordering lunches when needed.
- Ambitious self-starter with the ability to think outside the box and highly resourceful in executing daily tasks.
Position Requirements:
- Three plus years of Executive Assistant experience working with C-level or similar.
- Ability to manage several projects at once while flourishing in a fast-paced environment.
- High level of emotional intelligence.
- Excellent Customer Service skills with confidentiality.
- Strong attention to detail when prioritizing daily tasks.
- Ability to learn quickly, adapting to changing priorities.
- Excellent computer skills and proficiency with MS Office, Google Suite, and Calendaring.
- Exceptional oral, written, and interpersonal skills.
- Bachelor’s degree is welcomed but not required.
